Company knowledge base

AI knowledge base — United States

We organize controlled search and answers across approved company documents with permissions and source references.

Working with this market We agree the engagement format and project stages after reviewing the requirements. Project estimates for this market are prepared in USD; the final payment method and taxes are confirmed before work starts.

What we do.

We turn a company's scattered knowledge into a working tool that answers questions instead of people.

Collection

We gather the company's knowledge

We go through documents, folders, chats and the heads of key employees. Services, prices, terms, policies, instructions — all into one structure.

Order

We put the knowledge in order

We remove duplicates and outdated versions, find contradictions — for example, different prices in different files — and agree with you what to treat as correct.

AI-Pilot

We tune the AI on your data

AI-Pilot answers from the company's knowledge base, not from general information off the internet. Your wording, your prices, your rules of work.

Employees

We give the team an assistant

An employee asks in chat “what are our installment terms?” — and gets an answer in seconds, without bothering the manager or scrolling through folders.

Customers

We answer customers on the site

We connect the public part of the knowledge base to the assistant on the site and in messengers: customers get accurate answers about services and prices at any time.

Newcomers

We speed up onboarding of new staff

A newcomer asks the knowledge base questions they'd be embarrassed to ask colleagues ten times. Getting up to speed is faster, and the load on mentors is lower.

What you get.

Knowledge stops depending on who's in today and who remembers what.

For the team

  • A single knowledge base: services, prices, policies, instructions, templates.
  • Answers in seconds in chat, on the site and in the control center.
  • Newcomers get up to speed faster and distract experienced staff less.
  • An employee leaving no longer means losing their knowledge.

For the manager

  • The stream of identical questions from the team and customers goes to the AI.
  • Answers to customers are always in one tone and with correct prices.
  • Access is compartmentalized: everyone sees only their part of the base.
  • You see what's asked most often — a hint on what to improve.

How the work goes.

The knowledge base brings its first benefit within a couple of weeks — then it grows together with the company.

1Introduction and materials

We discuss which questions eat up the most time. You hand over documents, price lists and instructions — as they are.

2Building the knowledge base

We structure the materials, remove contradictions and add answers to frequent questions. We agree the contentious points with you.

3AI and access setup

We tune the AI on your data, check answers on real questions and compartmentalize access for customers, staff and the manager.

4Launch and updates

We connect the chat, site and control center. We show how to add to the base — or take on the knowledge updates as ongoing support.

Why AI PILOT.

We build knowledge bases not “for show”, but as a working tool built into the site, leads and the company's day-to-day work.

AI-PilotThe knowledge base, AI assistants, AI-Pilot and control center are our own tools that we develop every day.
Answers from the baseThe AI answers from your company's knowledge. If the answer isn't in the base, it says so honestly and calls a human.
PrivacyCompany data stays company data. Access is compartmentalized: a customer won't see internal policies.
Full cycleOne team gathers the knowledge, tunes the AI, connects the site and messengers and supports it all going forward.

Check how much company knowledge lives only in people's heads.

Tell us which questions you and your staff answer ten times a week. We'll show how a knowledge base and AI on your data take it off your hands.

Frequently asked questions

What data is needed to build a knowledge base?

Everything you already use: price lists, service descriptions, contracts and templates, policies, instructions, answers to frequent questions from chats. Perfect order isn't required — we work with the materials as they are and structure them ourselves.

Our documents are scattered across folders, drives and chats. Is that a problem?

That's a common situation — almost everyone starts there. We gather materials from different places, remove duplicates and outdated versions and bring it all into one structure. If you also need lasting order in the documents themselves, take a look at the solution “Documents and records management”.

Won't the AI make up answers?

The AI is set to answer from the company's knowledge base, not to invent. If the answer isn't in the base, it says so: “I don't know” — and offers to contact a staff member, passing the question to a human. Before launch we check the answers together on real questions from your customers and team.

How do you update knowledge when prices or rules change?

Updating is simple: you change or add material in the knowledge base — and the AI immediately answers anew. A designated employee can maintain the base, or you can hand the updates to us as support: you send the changes, we enter them and check the answers.

How long does launch take?

The first working version usually takes 2–4 weeks: it depends on the volume of materials and the number of areas. We deliberately launch the base in stages: the most frequent questions first, so the benefit appears quickly, then we expand it to the remaining topics.
